Indoor Playground Pre-Shipment Inspection: Evidence Checklist

Organize drawing revisions, inspection photos, product reports and corrective-action records before agreeing to release playground equipment for shipment.

What should a pre-shipment evidence file contain?

An indoor playground pre-shipment inspection should compare the ordered configuration with agreed acceptance evidence before shipment. Identify the contract, drawing and bill-of-materials revisions; record the checks performed, results, unresolved defects and the authorized release decision.

This is a buyer-side evidence checklist, not instructions to conduct structural testing. Photos, certificates and a factory visit each have limits. None alone proves that the completed installation will be suitable for use or meet local operating requirements.

Tie every inspection item to the approved baseline

Prepare an acceptance table before inspection. Reference the requirement, component, evidence method and responsible person. Use dimensions and tolerances from approved specifications, not arbitrary pipe thicknesses or generic values copied from another project.

The checklist has contractual effect only to the extent agreed by the relevant parties. Do not assume an online template changes payment or acceptance terms.

Use this concept for discussion, not as a pre-shipment inspection photograph. Site 3D concept render; not a test, inspection record or completed-project claim.

Agree the assembly and testing scope

Confirm which sections will be assembled and which checks can be performed at the factory. If only selected modules are trial-assembled, document the selection and the untested interfaces. Do not describe partial evidence as a complete installation test.

Any load testing must use the applicable approved method, qualified personnel and suitable equipment. Do not ask an operator to add improvised weights to a structure. Record limitations and responsibility for site installation and commissioning. There is no universal tail-payment percentage or full-assembly promise in this workflow.

Check report identity and assessment scope

Match report identifiers, equipment models, configuration and applicable standard editions to the order. Contact the issuing organization through a verified channel when authenticity or coverage is unclear. A factory quality-system certificate and a product assessment answer different questions.

The ASTM F1918-21 scope helps identify soft-contained equipment but does not prove that a particular product passed testing. Do not infer compliance from a standard name, a logo or a generic CE statement. Confirm requirements for the actual product and destination with qualified reviewers.

ISO 9001 describes requirements for a quality management system, not the specification or certification of each playground product. Ask for the specific product evidence separately from any factory management-system certificate.

Actual acceptance evidence must identify the ordered components. Site 3D concept render; not a test, inspection record or completed-project claim.

Specify an identified photo and video list

Request an overview showing the identified order and close views linked to part numbers, measured items and the relevant drawing positions. Include connections, padding condition, labels and package references where these belong to the agreed inspection scope.

    • Record the date, order reference and person collecting the evidence.
    • Ask for measurement references where a dimension needs checking.
    • Link each photo to the inspection table rather than accepting an unlabeled gallery.
    • Separate actual inspection media from design concepts and marketing images.

Photos can document visible condition; they cannot establish hidden weld properties, chemical composition or load capacity. Use the specified technical evidence for those questions.

Close corrective actions and document shipment release

List each nonconformity, its owner, agreed remedy and required recheck. Retain the original finding and the corrected evidence so the decision remains traceable. Ask the authorized person to record which conditions are closed and which remain open.

Check packaging against the actual agreed transport conditions, component needs and loading plan; do not prescribe one container type for every order. Release for shipment does not replace arrival inventory, site inspection or commissioning. Use the factory-acceptance topic to develop the broader purchasing framework.

    Frequently asked questions

Do inspection photos prove equipment safety?

No. They document visible features within their scope. Product testing, engineering and installation review require their own applicable evidence.

Does factory acceptance replace site commissioning?

No. Arrival condition, installation, building interfaces and local operating requirements must still be reviewed at the site.

Is there a standard final-payment percentage?

No universal percentage is established here. Use the actual contract and agreed acceptance and payment conditions.
